Introduction
The English-Speaking Union – Victoria Branch Inc (ESU) is committed to protecting the privacy of its members, supporters and website visitors.
This policy outlines how the ESU collects, uses, discloses, and protects personal information in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. What is Personal Information?
Personal information is any information or opinion about an identified individual, or an individual who is reasonably identifiable, whether the information is true or not and whether it is recorded in a material form or not.
2. Collection of Personal Information
The ESU collects and holds personal information necessary to carry out its functions and activities, including:
- Membership management;
- Maintaining mailing lists and managing event bookings;
- Organising activities involving speakers, delegates, advisers, consultants, or contractors;
- Administering the Awards program;
- Responding to requests for information; and
- Developing and promoting educational programs, including details of schools and teachers in Victoria.
The ESU will only collect personal information by lawful and fair means, directly from individuals or their authorised representatives, unless it is unreasonable or impracticable to do so.
3. Use and Disclosure of Personal Information
The ESU uses and discloses personal information only for the purpose for which it was collected (primary purpose) or for a related purpose that would be reasonably expected, or with the individual’s consent.
We may disclose personal information:
- To service providers or contractors who assist us in our operations (e.g., mailing services or IT support), bound by confidentiality agreements;
- When required or authorised by law; or
- With the individual’s consent.
The ESU does not sell, rent, or trade personal information to third parties.
4. Data Security and Storage
The ESU takes all reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.
Personal information is securely stored in both physical and electronic formats, with access restricted to authorised personnel.
When personal information is no longer required, the ESU will take reasonable steps to destroy or permanently de-identify it, unless we are required by law to retain it.
5. Access and Correction of Personal Information
Stakeholders have the right to request access to their personal information held by the ESU and to request corrections if they believe the information is inaccurate, incomplete, or outdated.
Requests can be made by contacting us at admin@esuvic.org.au. We will respond to requests within a reasonable timeframe, usually within 30 days.
Approval
This policy is reviewed every two years, or more frequently if required, for approval by the ESU Council.
